How to Order & Inspect Product Samples from Suppliers

One of the most critical steps in private label manufacturing is ordering and deeply examining a product sample before committing to full production. Here's exactly how to do it right.

Ordering samples from the factory/supplier helps us to understand the factory's quality of production, examine the product characteristics, and test what is working well and what we'd like to improve before mass production.

Why Order Samples?

Inspecting a product sample will help you to make sure you and the supplier are on the same page, and to prevent disappointment, damages, financial loss, and wasted time. It's also a great way to test your supplier's service and capabilities — and how they respond when you ask for changes.

How to Order a Sample from Your Alibaba Supplier

💡 Order Multiple Samples

Ask for 4–5 samples of the same model, not one. This helps you examine the consistency of the supplier's production process and quality. Sometimes it's also better to order several different models to choose the most suitable.

The cost of a sample will usually be higher than the production cost per unit — this is normal. This financial investment is worth the learning and understanding you receive about the factory's quality. You can request the supplier deduct the sample cost from the order amount if you proceed to mass production.

Are You Producing a Product That Requires a Mold?

Before ordering a sample, ask the manufacturer for a 3D sample (which you'll pay for). This prevents misunderstandings between you and your manufacturer about the expected result.

How to Inspect Your Product Samples

There is a tendency to think a sample must be perfect. The truth is that this is exactly why you buy samples.

⚠️ Don't Judge a Sample Too Harshly

Most factories send samples from stock that already exists — which may look neglected after sitting in warehouses, accumulated rust, or been used as internal samples. Do not expect the first sample to be the perfect product.

📖 A Story Worth Remembering

A poor family's child found a chicken egg. He imagined raising the chicken, selling it, buying a wagon, making deliveries, building his parents a house, marrying the neighbor's daughter, moving to the city... Meanwhile the egg fell off the table and broke.

Before building or destroying the future of your product based on a good or bad sample — remember that a sample's meaning is testing. This is only the beginning of a correct and smart process.
